Categories can be assigned to individual Users from the User Profile or, if enabled in the Person Category Group options, can be assigned in bulk by Super Administrators via the Main Menu.
This guide explains how to assign categories to individual Users in the User's profile. The following guide will explain how to do this from the Main Menu Assign a Person Category via the Menu.
Navigate to Organisation and Users via the Menu.
Click on the Users tab.
Locate the User by searching for them in the search box or locating them in the list of Users.
Click on their Username to view the User's profile.
Most Categories can be assigned within the Categories tab. However, some Categories may be set up to be assigned from a separate tab within the User's Profile. This is because the following tick box was selected when the Category Group was created in Site Settings.
Note: speak to your Super Administrator or contact the support team if you can not find the Category you wish to assign.
From the Categories tab
Click on the Categories tab.
Search for the Category using the Filter on the right.
Select a Category for the User by ticking the box next to the Category.
The selected Category will appear on the left.
Click on Save Changes.
From a separate Person Category Group tab
Navigate to the Person Category Group tab in the User's profile. The name will have been determined when the Person Category Group tab was created. In the below example, the tab is called Certified Functions.
If this is the first time assigning a Category click on the plus sign in the middle of the page, alternatively click on the Assign button. The word after the Assign on the button will be the Category Label given to the Category Group when this was created in Site Settings. In the below example, the Category Label for the Certified Functions Person Category Group is Functions. Therefore, the button says Assign Functions.
You will be taken through a wizard. In the first step, add the Categories you wish to assign from the list on the left to the Selection box on the right. You can do this by double clicking on a category or using the Ctrl key on your keyboard to select multiple categories. Then either drag and drop in to the Selection box or use the arrows in the middle of the window.
If the Category Group is aligned to only one or no Legal Entities, this will be the only step in the wizard and you can click on Confirm to accept the assignments.
If the Category Group can be aligned to more than one Legal Entity to comply with the Senior Managers and Certification Regimes then click on Next to move to the second step of the wizard.
This step allows you to select which Legal Entity these assignments will apply to. Select the Legal Entities in the same way as before and then click Confirm.

Drag and drop the appropriate Legal Entities to the Selection box on the right and then click Confirm.
Once confirmed, the details of the Legal Entity, the Category and the date it was Assigned will be displayed on the page.
The page defaults to display Assigned Categories only but can be changed to view Removed or All Categories using the dropdown menu.
