This guide explains how to enable User Archiving and Deletion so that the LMS will automatically Archive, and then Delete, any Users who have not logged into the system for a specified length of time.
This makes it easy for you to comply with General Data Protection Regulation (GDPR) and you can also specify groups of Users who should not be automatically Archived or Deleted if you need to.
Navigate to the Menu and click on Site Settings.
Click on the Available Features link near the top of the page.
Click on the User Archiving option*.
Automatically Archiving Users
Click on the Enable Automatic User Archiving toggle to switch this feature on.
You will now be able to specify the length of time before a User is automatically Archived using the year and month boxes underneath the switch.
Please note that the minimum length of time you can specify is 1 year, which is the default. You must save your settings (see below) before navigating away from this section of the LMS.
Automatically Deleting Users
Click on the Enable Automatic User Deletion toggle to switch this feature on.
Please note that the minimum length of time you can specify is 2 years, which is the default. You must save your settings (see below) before navigating away from this section of the LMS.
Excluding specific User Groups from automatic Archiving and Deletion
To exclude specific User groups, simply tick the box next to the User Group in the 'Groups to Exclude' section.
If there are multiple pages of possible User groups, you can click through the pages using the page numbers underneath the list.
Alternatively, search for the User Group using the box at the top of the list.
To exclude the User Group, simply tick the box next to its name as shown above.
You must save your settings (see below) before navigating away from this section of the LMS.
Save the changes
Click on Save near the top of the page to save any changes you make to any of the settings (including switching the features on).
*If you cannot see the User Archiving option, you will find it in the Manage Features section instead and it means that this feature has already been enabled.
