This video explains what Reporting Scopes and System Roles are and how to set them in the LMS. There are explanations underneath the video if you are unable to access it.
Reporting Scopes
These are the different Reporting Scopes available*, which you can select for Users within your LMS:
Direct Reports |
A User will be able to run reports on themselves and, if they are a Line Manager, anyone who reports directly to them. A User with this Reporting Scope will not be able to see any further down the Organisation Structure than their Direct Reports. |
All Reports |
This is the default setting for Users. A User will be able to run Reports on themselves and, if they are a Line Manager, anyone who reports directly to them. If any of their Direct Reports are Line Managers, they will be able to see all the way down the Organisation Structure. |
Organisation Unit |
A User will be able to run Reports on themselves and anyone within their Organisation Unit and any sub-Units. They will not be able to report on any Units adjacent or higher to the Unit in which they sit. |
Organisation | A User will be able to run Reports on themselves and anyone within the Organisation they sit in, across all Units. |
Organisation (Restricted) |
A User will be able to run Reports on themselves and anyone within their Organisation excluding the Unit they sit in. This is useful for data sensitive departments such as HR however, if the User is an Administrator or Line Manager, this Reporting Scope also prevents the User registering or emailing users within their Unit. |
All Organisations | A User will be able to run Reports on themselves and anyone else, across multiple Organisations. This is the highest level of Reporting Scope. |
The permission settings for Users are made up of a combination of the System Roles and the Reporting Scopes.
*Depending on your LMS setup.
System Roles
There are five levels of roles available (a standard User is a default role and all other roles need to be allocated):
Standard user |
This is the default setting for people registered onto Unicorn LMS. Standard Users are able to progress through learning, Assessments, and other Activities that are assigned to them on their training plan. They are also able to register themselves for Activities (or express their wish to register, depending on the settings of the site) via the Find Learning Catalogue and also run Reports on their activity on the site in the Reports. |
Line Manager |
Managers are given an overview of their staff’s activity on the LMS via the My Team Activity page. Managers are also able to report on the Users that are assigned to them to manage. This role is automatically assigned by the LMS if a User is set as a Line Manager. |
Reporting Administrator |
Reporting Administrators are given access to the full Reporting capability on Unicorn LMS allowing them to view more types of Reports, as well as create their own Reports. |
Administrator |
Administrators are the highest level of User and able to carry out a lot more tasks than all other Users, such as assigning learning to Users via the Content Manager, as well as creating Pathways, Assessments and other learning Activities in this part of the Unicorn LMS. Administrators are also able to carry out administrative tasks, such as making changes to Users’ accounts (email address, Username, changing passwords, unlocking accounts, etc.), have full access to the Reporting capability of Unicorn LMS and much more. |
Content Creator |
A Content Creator will be able to create and manage content within the LMS, which means that they will gain access to the Content Manager. They are also able to publish content to Find Learning. |
