This guide assumes you have already enabled the Responsibilities Map feature. If it is not enabled, see the Enable the Responsibilities Map guide first.
We would recommend that you take the tour if this will be your first time viewing and editing the map.
Navigate to the Menu and click on Responsibilities Map*.
*If you need to edit the Responsibilities because you have just enabled the Responsibilities Map feature, you will be taken straight to the Responsibilities editor (after you have viewed the tour) and won't need to click on the Responsibilities Map link within the Menu.
Assign a User to a function
Click on the Edit button near the top of the page.
A list of pre-filtered Categories related to your sector and firm type is displayed on the left hand side. The standard people picker is displayed to the right.
Use the filters and/or search box to find the required Category. Use the people picker to search for a User.
Simply drag and drop the User you'd like to assign next to the relevant Category.
Repeat this step to assign more Users.
Edit or add a Category
You can edit a Category to suit your organisation.
Click the three dots menu next to the Category.
If no one is assigned to a Category you can delete it or mark it as Not Applicable. If you mark as not applicable it will disappear from the list. You can search for these again using the filter at the top of the page.
If a User has been assigned to a Category you can only edit it, not delete it. Click on the three dots menu and click on Edit Category.
You can edit the Category Group, Code and Name within the popup window.
Click on Save within this popup window if you make any changes.
You can add Categories to the list.
Click Add Category and select the appropriate group.
The code is automatically added. Add a description of the Category and click save.
Remove Users from a Category
To do this, click on the three dots menu next to the User's name and click Remove.
Assign more than one User to a Category
Drag and drop the User to the appropriate Category in the normal way.
If more than one User has been assigned to a Category you have the option say whether it is Shared or Split.
The Allocation drop down allows you to say whether the person has been assigned the Category on a permanent or caretaker basis.
You can add a description of the Responsibilities for each User. This allows the User to read these before confirming acceptance.
Add a description of the Responsibilities
Click on the three dots icon next to the User. Click on the Edit link.
Add a description of the Responsibilities to the Personal Statement box.
Click on the Save button within the popup window to save the description. You will need to repeat these steps for each User.
View the functions assigned by Person
You can check the Categories you have assigned to your Users by clicking on the Person link.
