Super Administrators can create new Qualifications by clicking on the Menu and selecting Qualifications.
If this is the first time you have created a new Qualification, you will need to create an Examining Body and set the Exam Level before you can create the new Qualification. If the relevant Examining Body and Exam Level already exist, then you can jump straight to creating the new Qualification.
Note: Exam Level is also used when referring to Qualification Level and follows the Regulated Qualifications Framework used in England, or similar frameworks as used in other countries. It has no bearing on the system other than to group similar level qualifications together.
Create the Examining Body
Select the Examining Bodies tab then click on the New Examining Body link at the top of the page.
Enter the name of the Examining Body and a recognisable abbreviation then click on Create.
Note: the Examining Body name must not already exist in the LMS. If the name already exists, an error will be displayed and you will need to enter a new name.
Create the Exam Level
Click on the Exam Level tab, then click on the New Exam Level link at the top of the page.
Enter the name for the Exam Level (for example Award, Certificate or Diploma), then select the appropriate level from the dropdown list. Next click on Create.
Note: the Exam Level name must not already exist in the LMS. If the name already exists, an error will be displayed and you will need to enter a new name.
Tip: If you are uncertain what level to apply, the Government website may provide further guidance.
Create a new Qualification
Once the Examining Body and Exam Level for your Qualification have been created, you can create the new Qualification.
Select the Qualifications tab and click on the New Qualification link at the top of the page.
Enter the details for the Qualification in the form displayed using the guidance below:

Select from the dropdown list. If you can't see the Examining Body you'd like to select from the dropdown list, you will need to create it, as shown above. |
Name | Enter the name for the Qualification. |
Code | Create a Code for the Qualification following your Organisation's naming convention. |
Exam Level |
Select from the dropdown list. If you can't see the Exam Level you'd like to select from the dropdown list, you will need to create it, as shown above. |
Qualification Type | Select whether it is a Qualification or an Exam. |
Icon | Upload an image to be shown in the Qualifications Portlet. This provides a useful visual identifier for the User if they are working towards multiple Qualifications. To upload click Choose file and select the icon from a folder on your PC. |
Date Mode |
The options here are Exam Sitting or Variable. If there are specific dates for an exam set in advance, you should choose Exam Sitting. If the date for the exam could be any time, then select Variable. If there isn't an exam, select either as you must select at least one but it will not affect your Qualification on the system. |
Current | Select whether it is a current Qualification or a historic one by selecting Yes or No from the dropdown list. |
Required Credits | No longer applicable, ignore. |
Click on Create.
You will be taken to the Qualifications administration area. The Exam Dates tab will allow you to enter specific exam dates. In the Equivalence tab you can relate the Qualification to others which are equivalent but may be known by a different name or Examining Body.
Note: that the Credit Rules tab on the left-hand side menu are no longer applicable and should be ignored.
Once the Qualification has been created, Users can select it within the Qualifications tab when viewing their own profile or Line Managers and Administrators can on behalf of a User when viewing a User's profile. If you want the Qualification to be used in conjunction with the Qualification Plan Portlet, then you need to add a Study Plan. For how to set this up, see Create a New Study Plan.
