Users who have been assigned a responsibility will receive an email requesting their acceptance. However, as an administrator you can choose to download a PDF for them to sign. This option will only be available after following the steps in Request acceptance of Responsibilities.
While in the Acceptance tab of the Responsibilities Map, click on the Download Offline Acceptance link under the User's name.
A PDF will be downloaded, which you will then be able to print and ask the staff member to sign, or email it asking them to print, sign and return it to you.
When you receive the signed copy, scan and save it then click on the Upload Offline Acceptance link within the Acceptance tab of the Responsibilities Map.
Click on Choose File within the popup window and locate the scan you have saved to your computer.
Tick the box within the popup window to confirm that the acceptance is correct and the staff member has been approved. Then click on Upload.
The Offline Acceptance will be uploaded.
It can be downloaded and viewed at any time by clicking on the Download link within the Acceptance area.
Uploading the document will also mark the staff member as having accepted the Responsibilities.
