If this is your first time using field validation, please see this guide first.
Add one of the below fields to the Form Template by dragging from the Tools Palette, which can be found on the right-hand side of the Form Template Editor, into the page space in the middle.
Only certain field types can have validation applied to them. When validation is applied to a field, it automatically becomes mandatory.
Click on the field to configure it. The validation options will vary depending on the field type, and these are explained below.
When you have finished configuring the field, click the green tick to apply changes or the red cross to discard them.
Date Input
Enabling validation will mean that the date entered must fall within the specified number of years and months.
Selection using a list/radio buttons/checkboxes
For these fields, you can choose which choices are valid and invalid. Tick the box to enable validation and click Edit Choices.
In the popup window, you can edit the choices, delete any extra choices you don't need by clicking on the dustbin, and set whether each choice is valid or invalid. At least one choice must be set to valid. Click Confirm when you are finished to apply the changes.
User data
If you have created Personal Custom Fields in Site Settings, you can pull these into a Form Template. You can set whether the field should Pull data from the User's profile or Push data back to the User's profile (see Push and Pull User data between Profile and Forms for further information).
You can enable validation for the following Personal Custom Field types:
- Date
- Selection (Single - dropdown list)
- Yes/No
Tick Show last updated date if you want to display the date the Personal Custom Field was last updated on the User's profile in the Form.
Field Layout
You can add any of the above field types into a Field Layout tool and apply validation to them. However, the following field types can not be used in conjunction with the Field Layout tool.
CPD Status
This field will automatically display the Assignee's CPD status within the Form. Enabling validation will mean that you can specify the time frame within which the target CPD (according to the User's CPD scheme rules) must be met. Click on the Options dropdown to specify whether to validate CPD for the Current Period; Last Completed Period or Last 12 Months.
Mandatory Training
This field will automatically populate with the Assignee's Mandatory Training status for the the category selected. Similar to CPD Status, enabling validation on this field will check that the User has completed all activities which have been tagged to the specified Mandatory Training Category (within Activity settings) for the specified date period.
