You can use Personal Custom Fields to capture additional information about your staff within the individual's profile, for example the date of their DBS check. You can then include this data in your Fit and Proper Test by adding the User Data field. You can also group the Personal Custom Fields relevant to assessing fitness and propriety into one group to make this easier to track. The group will also be displayed as its own tab when viewing the User's profile. When designing your Form Template you can choose which profile data to pull in to the Form from any of the Personal Custom Fields held within a User's profile.
When using the User Data field in your Form Template, you can choose whether to automatically push or pull data between the Form and the User's Profile. Set the field to Pull if you already have this data entered into the field in the User's profile. This means the data will automatically populate into the Form when it is in progress. Set the field to Push if you have not entered the data into the field in the User's profile or wish to overwrite it. When data is entered in to the Form, at the point the form is marked as complete, it will also update the User's profile.

Create a Personal Custom Field Group
Create a Personal Custom Field group for all the data you want to capture as part of assessing fitness and propriety.
Once you have created your Personal Custom Fields, populate the fields in the User's profile accordingly.
Add Personal Custom Field data to your Form Template.
Once you've created your Personal Custom Fields and updated the relevant information in the User's profile, you're ready to add this data to your Form Template using the User Data field.
