Handing over the reins of your Administrator duties to another person within your organisation? Here are some things you may want to consider as part of a handover to the new Administrator.
- Consider your own Reporting Scope. Does the Administrator replacing you need to have the same level of access? If so, make sure that you have set their Reporting Scope via their profile.
- Consider any Registration Rules and Email Reminders you have set up. Is the new Administrator aware of when they are scheduled to run and why they have been set up?
- Consider amending any Email Reminders or Scheduled Report Emails where you may have left your name and email address.
- Consider any Reports you have created. If the new Administrator needs to be able to run the Report, you will need to share it with them.
- Consider any scheduled Report emails you have set up. These will continue to run even after you have been archived from the LMS, so the best thing to do is delete the scheduled Report emails you have set up, and have the new Administrator create them using their own account. This way, the new Administrator will be able to edit the emails as required, and their name will show on the email itself.
- Consider the organisation structure/hierarchy. Is the new Administrator aware of how Users are organised on the LMS? This will help them understand how best to set up Registration Rules.
- Consider any data feed that is running. Is the new Administrator aware of what it does and when it runs?
- Consider any content you have created. You'll need to make sure the new Administrator has the correct permissions to see this. This also applies to Form Templates.
- Consider any naming/code conventions for your content. The new Administrator might need to know about these if it's important for Reporting purposes or for linking questions within a Question Bank to an Activity.
- Consider if any of your content libraries are due to expire. If so, the new Administrator will need to be aware so that they don't register Users to the content. If you don't have this information, contact your Account Manager.
- Consider the details of the organisation's CPD scheme, if applicable. Is the new Administrator aware of the requirements?
Lastly, make sure that the new Administrator is aware of how to contact Support, and of this Knowledge Base, where they can find all the resources they need to get started with the LMS.
