Find the Activity (see Find content in Find Learning or Find content in Content Manager if you're unsure how to do this) you would like to assign an Email Reminder to and go into its administration area.
From the Common Tasks tab of the Activity, click Set reminder emails. Alternatively, you can click on the Email Reminders tab on the left-hand side.
If any Email Reminders have already been created, they will be shown here.
To create a new one, click New Email.
You will be presented with a 3-step wizard.
Step 1
Add a Subject. This will be the subject line of the email when it is received. This field is mandatory.
Write a customised Email Reminder using the Custom Fields. To learn about how to use Custom Fields, see the Use Custom Fields in an Email Reminder guide.
In this example, which is reminding the User to complete an Activity that they have been registered to, the email could be worded as follows:
Note: When the LMS sends the email, by default, it will be sent from a noreply address, so we would recommend adding contact details at the bottom of the email.
Click on the Send Test Email to check the formatting.
Note: the test email will go to your email address and it will be addressed to you, as you are logged in as an Administrator, and the set password link won't work if clicked on as it is a test email. The due date will also display as the current date.
Click Next once you are happy with your email.
Step 2
In the following screen, we want to only send the email to Users with a completion status of Not Attempted and Incomplete - as this is a chaser email, we don't want Users who have completed the Activity to receive it.
Click the link next to Completion Status.
Then un-tick Completed.
Click Next.
Step 3
In this step, you can choose the frequency of the email.
As we're creating a chaser email, we will choose Specify a time frame before due date, but we could also choose Specify a time frame after due date. These options rely on a due date being set when the User is registered to the Activity.
For each of these options we can specify a number of days, weeks or months before or after the due date that we want the email to be sent. You can create multiple email reminders if you want to remind your Users more than once. For this example we will select 1 day before due date.
You can then decide when you would like the email to start running. You could keep it as a Draft ready to send later, start running it straight away or set up a date that it should start sending from. In this example, we'll choose Start running now.
We want the email to go to the registered User so we will leave that option as it is, but we could also choose to send the email to the User's Line Manager.
Note: if you use the Line Manager option, the Users will not be collated onto one email and the Line Manager will receive an email for each User who meets the criteria you have set. In addition, the Custom Field data will related to the registered user and not the Line Manager. You might want to consider creating a Scheduled Report Email instead.
Click Finish to complete. You will be returned to the Email Reminders tab where you can edit, cancel or delete the Email Reminder.
Don't forget, you can set up multiple Email Reminders for different purposes. For example, to remind Users of upcoming or overdue due dates, congratulate them on completing the learning, or even just to send them information on a once-only basis.
