We provide high quality learning solutions underpinned by the Unicorn Learning Management System (LMS) platform. We specialise in helping organisations with their Governance, Risk and Compliance training needs. Our solutions span a mixture of content, platform and mobile-first games and apps – meaning that we’re able to support you in every aspect of your learning strategy.
Your privacy is important to us, and therefore we want to be transparent about the way we process your personal information. This privacy notice explains how and why we process your personal information and the rights and control you have you have over it.
What is personal information?
Personal data, or personal information, means any information about an individual from which that person can be identified.
This privacy notice applies where we are the data controller.
Where we are the data processor, your use of the services will be subject to the data controller’s privacy notice/policy and other related policies.
The data controller is responsible for providing you with ‘privacy information’ including the purposes for processing your personal data, the legal basis for doing so, and the retention periods for the personal data. You should contact the controller directly with any requests or queries wherever possible, including subject access, rectification, and erasure requests.
Are we the data processor or data controller?
We are the data controller where we obtain and process data provided to us directly from individuals who are acting on behalf of an organisation, either as a customer or potential customer (for example head of human resources responsible for training at an organisation). We are also the controller where you provide information via our company website, when signing up to mailing lists, email, telephone, requesting and using free trials of our products, interaction such as at trade shows and events. A data controller is an organisation that determines the purposes and means of processing personal data.
We are the data processor where our products and services are made available to you through an organisation (for example your employer) who are the data controller. That organisation will be the administrator of the products and services we are providing. A data processor only processes data on behalf of the controller where instructed to do so. As a processor we will process personal data provided to us by the controller, or the end-user of the controller.

As an ISO27001 Certified company, we are committed to maintaining the highest levels of information security, and are subjected to regular audits and external penetration testing.

Information we collect when using the Unicorn LMS Platform
Unicorn LMS has been designed to process the following types of personal data: name, company provided email address, photograph, about/bio, employment start/end, job title, employee ID, line manager, job role and performance reviews.
Additionally, login times, system actions, content usage, assessment results, and continued professional development (CPD) are also recorded for each user account.
We also process data that the Customer and End Users upload as part of the provision of the Services and choose to include ("incidentally-collected Personal Information"). The Unicorn LMS has not been designed to store sensitive personal data and there is no requirement or reason for the Customer or End User to upload any data of this type.
Legal Basis for processing your information
We will only use your personal information when the law allows us to. We may use one of the following lawful basis to process your personal information:
- Where processing is necessary for the performance of a contract to which you are a party
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
We do not generally rely on consent for a legal basis to process your personal data except for where we send you direct marketing communications.

Data retention is how long we will keep your personal information for. We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

Where you have requested a demo or trial of one of our products and services the database will be deleted at the end of the trial period.

- Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.

Sharing your information
We may share your information with external service providers who provide us with IT and administration systems and who only process the personal data on behalf of Unicorn for our purposes. We do not share information with external third parties for any other reason except where we are required to do so by law.

Some Unicorn LMS customers opt to use Google Analytics to help understand usage patterns and types of device and operating system. These customers have given us consent on behalf of their Users where that is the case. The Unicorn LMS does not automatically include third-party cookies. Some content may require cookies to operate so these do not require additional consent.
How to control cookies
You can block and/or delete cookies as you wish using your browser settings. You can delete all cookies that are already on your computer and you can set your browser to prevent them from being placed. By doing this you may have to manually adjust some preferences every time you visit www.unicorntraining.com and some services and functionalities may not work.
